Proposal Summary

In this module all saved sales proposals are stored and available for review, calculation and modification. General users have access limited to their own saved proposals. Station management will typically have access to all proposals.

Stations

Select the station to be used. Choose the number of weeks to load. Most applications will default to display maximum # of weeks possible. Station selection defaults to last station selected.

Proposals List

In this section sales proposals may be modified and reviewed. Sales representatives can modify notes, description and close probability. Administrators may modify each of these items and the expiry date as well.

Sending Saved Sales Proposal Dollars to Pending Business (Management Only) Managers have authority to select proposals that will contribute to inventory count, as it becomes part of pending business in the application.

Selection of Clear All Pendings button will eliminate all pending business for the selected station across all weeks, up to 52 weeks out.

Selection of the Update Pendings button distributes spots from selected proposals across the appropriate weeks and dayparts as pending business. Distribution of inventory will be determined by selection of either Incremental Update or Replace Existing option.

Selection of the option Replace Existing eliminates all pending business across the applicable weeks and dayparts in common with selected proposals.

Selection of the option Incremental Update adds pending business from selected proposals across the appropriate weeks and dayparts on top of existing pending business.

Printing a Saved Sales Proposal Highlight the proposal line you want to print. This will activate the View Schedule tab. Click on the View Schedule tab. Scheduled Details will be displayed. Click on Print.

Totals on Selected Saved Sales Proposals

Any combination of selected saved sales proposals is automatically totaled at the bottom of the screen by dollars and spots.

Updating a Saved Sales Proposal To change a close probability, add notes or change the proposal description: highlight the proposal line, click on the button, make your change(s), and save by clicking on the Continue Update button.

Note: Only station management has authority to change an expiration date.

Printing Lists of Saved Sales Proposals To print list of all proposals, do not highlight any lines. To print selected list of proposals, highlight only those you wish to print. Click and drag to highlight a successive list of proposals, or hold down key and click at random to select. Click on Print .

To Delete a Saved Sales Proposal Highlight the proposal you wish to delete. Click on Delete . Select a reason for deleting. The proposal is then sent to an archive folder. Prior to deleting the proposal, use the Update option to add notes, stating more clearly why it is being deleted. Do this if the data will help in future analysis of client buying habits.

View Schedule On this window view a proposal in Scheduled Details form. Highlight a proposal from the Proposals List> tab so that the View Schedule tab will become available. Only one proposal may be viewed from this window at a time.

Activity Schedule To access this tab, highlight proposal(s) and click on the Activity button. The Activity Schedule tab will then be available. From this window, a breakdown by day and daypart for each scheduled ad and the amount that was proposed is available. By highlighting cells and clicking on the Calc. Totals button, it is possible to see the total number of ads scheduled and the potential revenue for those ads.
