Sales Proposal

View rates and the spots on sales proposal.

After creating the schedule and clicking on Print, a Sales Proposal print screen pops up with printing options. To print out rates for just the selected spots, put a check in the Time Segment Rates box in the Print Options screen. (If this option is grayed out, the Rounded Average is turned on, and must be turned off to print out rates by daypart with the placed spots. To turn Rounded Average off, click on the Summary tab and take the check out of the Rounded Average box.) Turn on the radio button to the right that indicated Placed Times Only. Choose any other print options desired, and click Print.

Increase a rate in a sales proposal.

Hold down the "Ctrl" button on the keyboard and double click on the cell desired.

Create a sales proposal.

Click on Sales/Sales Proposal/Grid View. Click on Flighted Weeks and select weeks from the calendar. Click on the Rate Class to be used, and select Forecast Combinations or click on individual grid cells. To add ratings information click the Demo button and select the desired Demo and click on OK. There are a variety of items for planning the schedule. To the right of Demo, click on the drop down menu. Options are:

Average Demand Levels Time Available Per Week
Average Audience Rating Time Booked All Week
Cost Per Point (CPP) Time Capacity Per Week
Cost Per Thousand Time Pending All Weeks
Flighted Rates Time Schedule & All Weeks
Maximum Ads Units Available All Weeks
Time Available All Week

Click on the drop down menu at the bottom left of the screen to choose how the scheduler is to distribute the spots (dollars). Options include:

Spots per flighted week
Investment per flighted week
Total spots, all weeks
Total investment, all weeks

Stations that have ratings information will have the added following options:

GRP’s per flighted week Percent reach, all weeks
Total GRP’s, all weeks Effective reach (OES)
Average frequency, all weeks

Cost Per Point/Thousand scheduling can be accessed by clicking on the button to the right of the Apply button marked or CPP/CPM. If the drop down menu is used for criteria selection, then a value must be entered in the box directly to the right. Press the "Enter" key to distribute spots based upon the criteria entered.

To print this report in a Grid View, click on Print and a Sales Proposal menu will pop up. This is where any additional header information, notes, and selection of information that is desired to have on the printed report is located, click and Print.

If a warning box pops up at this time asking "Do you want to update your printer settings?", click OK and choose portrait orientation.

To save this flight, click on Apply and Save. If an agency/advertiser, close probability, or description has not been entered then a Save Proposal window will pop up to allow this information to be entered. This will move the schedule to the Collected Flights tab (middle) and to the Proposal Details tab (top). At this time a proposal number should be displayed at the top of the screen.

Access a saved sales proposal.

Click on Sales/Sales Proposal/Proposal List. At this point go back to Grid View or Proposal Details and print the proposal. If you need to modify the proposal, this must be done from Grid View.

Print a saved sales proposal.

After loading up the saved sales proposal by highlighting from the Proposal List tab go back to the screen from which you wish to print (Grid View or Proposal Details). From the Proposal Details tab, simply click on the Print button. From the Grid View tab, click on the Collected Flights tab in the middle of the screen, highlight the desired collected flight and click on Print.

Take spots out of a saved sales proposal.

Click Sales/Sales Proposal/Proposal List. Highlight the proposal that needs modification and go back to the Grid View tab. Click on the Collected Flights tab in the middle of the screen and highlight the collected flight in which we need to remove a spot. This will bring up the grid view of the proposal. Double click in the grid square to remove a spot. This will bring up a modification window to change the number of spots. This modification can only be used to decrease the number of spots. After changes have been made, print the proposal, then click on Apply and Save.

Print from grid view and get placed spot rates to display on the printout with the spots.

Decrease a rate in sales proposal.

The option must be turned on in the System Options by an Administrator. Hold down the "Ctrl" key and double click on the grid square that the rate needs to be changed and type in the new amount and press "Enter".

Create a schedule with a CPP criteria and a dollar amount.

Click the button on the right of the Apply button, enter the ceiling value and click OK.

I am scheduling a multi-week proposal. I have avails and a daypart for all weeks except one. How can I schedule around this week?

Under Flighted Weeks tab select only weeks desired.

What is multi-cume when choosing a demo?

If you are building a multiple week schedule, you have the option to utilize Multi-Week Cume Factors. When this option is turned on, the system will take into consideration that each week of the schedule will reach different people therefore, Arbitron's multi-week cume factors will be used. They are projected to a maximum of four weeks. The result will be a slightly higher reach and lower frequency.

Delete a collected flight from a proposal.

In Grid View, click on the Collected Flights tab and highlight the flight that you wish to delete. Right click on the highlighted flight and select Delete.

What is multi-station for?

Allows the creation of a multi-station proposal in a single proposal.

Change the probability code.

Select the proposal from the Proposal List tab, click on the Proposal Details tab and click on the Set Probability button. Choose the new probability code, click OK and Save.

What does it mean to purge contact on delete?

The contact will be removed along with the advertiser.
